Tips and Tricks for Content Server System Administrators

Did you know...

Thread Contention is the #1 cause of slowness so it's important to monitor your thread usage. Content Server threads are vital to the performance of your system. Content Server requires available threads in order to process user requests. If your system is too busy and no threads are available—users will be forced to wait for a free thread.

Content Server instances can be vertically stacked with multiple instances on each physical server. If you didn't know this you may not be utilizing all your hardware effectively. Several Content Server instances can be installed on one physical server….just ask us how!

You should always monitor your partitions’ to see how full they are. Search performance is a big concern if you exceed 85% partition usage. Help your system by monitoring your partition usage and growth. Once a partition(s) hits 80-85% usage, you should consider taking action. Mark them as UPDATE ONLY and/or add additional partitions.

Have You Ever Wondered What It's Like to Attend Virtual Classroom Training?

OpenText Learning Services has been providing Virtual Classroom training courses for almost two years now. Virtual Classroom gives you the ability to attend class without the cost, time and hassle of traveling. In fact, we offer a number of alternatives to our classroom training that makes attending training more flexible for you. In addition to Virtual Classroom, we also offer eLearning (computer based training) and dLearning (distance learning) training courses.

Our Virtual Classroom provides a similar experience to what you would receive if you attended one of our public classroom training sessions. In Virtual Classroom, there is constant communication between you, the instructor, and other attendees through voice, instant messaging, and the question and answer chat. You can even see the instructor if the webcam is available. It's just like sitting in the classroom with your own computer for hands-on work—without the cost and time of travel.

eLearning is self-paced with the availability from your computer anytime (24/7), whenever it suits your schedule. The eLearning offerings are designed for you to work through them in 2 hours or less, utilizing software simulations, audio components, and animations.

dLearning is self-paced, online training that is available to you for a three month period, along with instructor facilitation. You receive the course manuals and have the ability to post any questions you might have in a forum which is monitored and moderated by the instructor. You use your own lab environment and there is a quiz at the end of each module, as well as a final quiz for the entire course to help test your new knowledge. Currently dLearning is available for the 101 Content Server Knowledge Fundamentals course. If you’re interesting in learning more in a dLearning environment, let us know!

Here’s an example of putting the Virtual Classroom to use. For one of my private customer classes, the students joined together in a conference room, and projected the computer I used for demonstrations so the students could view my system as they were working on their own laptops. It was as if I was there in the room with them. That worked out really well.

One of my students attending a virtual class said “it’s a great alternative and solution if trying to cut costs and travel expenses” with another student mentioning, “I loved the fact that I could attend class from home via the computer”, since she was located in a remote location for traveling.

In 2006, Sherri Goudy joined OpenText Learning Services through the Hummingbird acquisition. She brought over 26 years of training experience with her including the public school system, and software training with the private sector. With a degree in Education, Sherri has conducted several Train-the-Trainer classes with customers to help enable their trainers to teach the new software. She has also developed curriculum for several classes including customized training for several customers.

Since joining OpenText, Sherri has focused primarily on OpenText’s eDOCS solutions. These include courses on DM Administration, RM Administration, eDOCS Email Filing, and eDOCS Integration with Microsoft SharePoint. Sherri recently became a Learning Content Developer along with teaching classes.

Plan to Create Value for Your Stakeholders: Key Questions to Consider

Failing to plan is planning to fail

When implementing your ECM initiative, it’s vital that you consider the impact on your various stakeholders. Whether you are implementing an ECM solution for the first time, upgrading, or working on a roll-out to new user groups—assessing and addressing your ECM community’s learning needs is a key step in deriving value.

How do you prioritize and make the most effective use of your training investments? How do you tailor your training program to fit your ECM strategy? Here are some questions to consider:

Why?

  • Is the initiative important to your organization?
  • How will stakeholders be impacted?
  • Do they need help? If so, that's where you come in!

Who?

  • Which stakeholders have learning needs and how can you categorize them? For example, Business Users, Power Users, System Administrators, Developers, Help Desk, and others.
  • Who will be your Influencers, Innovators, Champions, Resistors, and how do you work best with all of them?

What?

  • What information, skills, coaching and incentives do the various stakeholders need to be effective in their roles?
  • What media will you provide them to facilitate their learning? This may included course books, job aids, eLearning, and how-to videos.

Where?

  • What forum(s) will you provide the stakeholders to facilitate their learning? This could include traditional classroom, virtual classroom, and on-line communities.
  • What supporting infrastructure will you need? Do you need a training lab for hands-on practice, Virtual Classroom, training data set, or maybe a combination of all of them.

When?

  • When in the project is training most effective?
  • How do you organize people who are geographically dispersed and who have different work schedules?

How?

  • How will you develop best practices, keep them current, and roll them out to your team?

There are many questions to answer, especially considering today’s sophisticated ECM solutions and modern educational tools. Successfully enabling your stakeholders is a vital step in creating value for them.
